Company AI rollout at Webforte is help with choosing, setting up and training a whole team on an AI assistant. Typically this means ChatGPT Business or ChatGPT Enterprise from OpenAI, Claude Team or Claude Enterprise from Anthropic, or Microsoft 365 Copilot, which Microsoft now calls Microsoft Copilot. We choose the tool based on where the company works day to day (Microsoft 365, Google Workspace or elsewhere), what data may go into AI and what administration IT needs. According to all three vendors' terms, their business plans do not use company data to train models by default; they differ mainly in how they connect to company systems and how they are administered. We write down rules for using AI, help set up company accounts and permissions, test the tool with a pilot group and prepare shared templates and training in Czech. We checked these features on the official OpenAI, Anthropic and Microsoft websites on 30 September 2026. Vendors change their plans and features often, so we check them again before you buy. We do not list licence prices; the vendor sets them.
If the company does not choose an AI tool, people choose their own
Most companies do not start from zero. Someone already uses AI and management knows only part of it. You will recognise these signs.
Everyone has a different tool and their own account
One person uses free ChatGPT, another pays for Claude out of pocket, a third is trying Copilot. The company does not know who uses what and has no control over personal accounts.
Contracts and customer data get pasted into AI
On a personal account, each person decides on the data settings. The company cannot see what went into the tool and cannot delete it.
Nobody knows what is allowed
There are no simple rules on which tools the company allows, what data does not belong in them and who is responsible for the output. So people either hide their AI use or do not use it at all.
Good practice stays in personal accounts
Whoever has fine-tuned their prompts for quotes or meeting notes keeps them in their own account. Everyone else starts from scratch, and when that person leaves, the know-how leaves too.
Data security: what the licence solves and what rules solve
A business licence covers the contract with the vendor and account management. What people put into AI and what they do with the output is for the company to decide.
Company data is not used for training by default
OpenAI states that it does not use data from ChatGPT Business and Enterprise to train models by default. Anthropic says the same about its commercial Claude products, and Microsoft about prompts, responses and Microsoft Graph data in Copilot. Free and personal accounts have different rules, which is why company work belongs only in the company account.
AI sees what the user has access to
Microsoft Copilot only surfaces company data the person has at least view permission for. ChatGPT and Claude connectors inherit the permissions the user has in the connected service. If a payroll folder is accidentally shared with the whole company, AI will answer from it for anyone. That is why we review permissions on sensitive folders before launch.

All three vendors have a data processing addendum (DPA): OpenAI signs one for ChatGPT Business and Enterprise, Anthropic's is part of its commercial terms, and Copilot is covered by Microsoft's Products and Services DPA. Where data is processed differs from tool to tool; the matrix above has the overview. We do not replace a legal opinion: we prepare material for your lawyer or data protection officer.
How to roll out AI in a company, step by step
Six steps, each ending with a concrete output. The tool goes company-wide only after the pilot. The timeline depends on team size and the number of tasks.

The team's tasks
With managers we go through what people do repeatedly: quotes, replies to customers, meeting notes, work with spreadsheets. We pick tasks where AI saves time and where mistakes are easy to spot.

We write down rules for using AI and help set up company accounts and permissions (with your IT, or for you): company sign-in, user management and the data settings the chosen plan offers.

A few people from different teams get the tool first. We watch where AI helps them, where it makes mistakes and what needs adjusting in the rules or templates.

Connecting company data
Only when needed
If AI needs to search company documents or work with other systems, we enable ready-made connectors (SharePoint, Google Drive and others) and check who can see what through them. Your own systems are connected via MCP (Model Context Protocol, an open standard for connecting AI to company systems). This is a separate scope of work that we quote separately.
Output: Enabled connectors with verified permissions, or a design for a custom connection.

Training
We train the team hands-on, on its own tasks and in Czech. This includes AI literacy, which the AI Act talks about: how the tool works, where it makes mistakes and how to check its output. For companies in the Czech Republic: a company can draw a contribution for the 50-hour programme from the Vzdělávání pro firmy scheme of the Czech Labour Office (ÚP ČR). That programme is delivered by our partner PECKA.

Frequently asked questions
The business plan has different terms from free ChatGPT. OpenAI states that it does not use ChatGPT Business data to train models by default and that it encrypts the data in transit and at rest. ChatGPT Business has completed a SOC 2 Type 2 audit, offers user management, SSO sign-in and multi-factor authentication, and OpenAI signs a data processing addendum (DPA) for it. Security does not depend on the licence alone, though. It also depends on what data people put into the tool and which connectors are switched on, which is why usage rules are always part of the setup.
Both have business plans that do not train on your data by default, and both offer SSO, shared projects, deep research, add-ins for Word, Excel and PowerPoint and connectors for Microsoft 365 and Google Workspace. They differ in the details: ChatGPT Business has @ChatGPT in Teams and custom GPTs shared within the company. Claude handles very long documents in a single chat, and its administrator can limit connectors to read-only. Of the two, only ChatGPT Enterprise offers data storage in Europe, and only to eligible new customers. A pilot often decides: a small group tries the same tasks in both tools and one is chosen based on the results.
It depends on how much time people spend in Word, Excel, PowerPoint, Outlook and Teams. Microsoft 365 Copilot is now called Microsoft Copilot and comes in several tiers. Copilot Chat is included with eligible Microsoft 365 licences, but it works mainly with the web and you have to hand it company documents yourself. Only the paid Microsoft 365 Copilot (Premium) licence searches email, files, meetings and chats in Microsoft 365 by itself. For companies on a Microsoft 365 Business plan there is the Microsoft 365 Copilot Business add-on. We recommend starting with a pilot on a few licences and reviewing SharePoint permissions first, because Copilot surfaces everything a person has access to.
We recommend six steps. First pick the tasks where AI saves time, then write down data rules and set up company accounts. Test the tool with a pilot group and extend it company-wide only after the review. Prepare shared templates and projects for the main tasks, connect company data if needed and finally train the team on its own tasks. A ban without a company alternative does not reduce the risk; it only moves it to personal accounts the company cannot see.
A smaller company usually does well with ChatGPT Business or Claude Team: both have user management, SSO, shared projects and connectors. Enterprise adds what larger companies and regulated sectors need: automatic account provisioning from the company directory (SCIM) and a Compliance API for connecting audit and data protection tools. Claude Enterprise also has audit logs and custom data retention, and ChatGPT Enterprise offers eligible new customers data storage in Europe. Which plan makes sense depends mainly on the requirements of your IT and your data protection officer.
Yes. OpenAI lists Czech among the languages ChatGPT supports, and Microsoft lists it among the languages you can use for Copilot prompts. Claude does not have a Czech interface, but you can write to it in Czech: Anthropic states that it processes input and generates output in most world languages. Czech output still deserves a careful read, especially technical terms and names. We prepare templates and training in Czech.
